Aircraft Maintenance Billing Coordinator

We are hiring an Aircraft Maintenance Billing Coordinator to support aircraft maintenance billing and work order management within a Part 145 maintenance environment.
This role is a strong fit for someone with experience in aviation maintenance administration, MRO operations, aircraft support, or billing who is highly organized, detail-oriented, and comfortable working with maintenance documentation, vendor invoices, and aircraft work orders.
As the Aircraft Maintenance Billing Coordinator, you will help ensure accurate billing for aircraft maintenance events, review vendor charges, manage work order details, and support communication between maintenance teams, vendors, and internal departments.
What You’ll Do:
- Prepare, review, and finalize invoices for aircraft maintenance services, including labor hours, parts usage, vendor charges, and related billing items.
- Audit third-party vendor invoices to confirm accurate labor rates, pricing, documentation, and compliance with internal standards.
- Review maintenance documentation to help ensure alignment with FAA Part 145 requirements.
- Manage the maintenance billing cycle by generating reports and maintaining accurate information in EBIS, the work order management platform.
- Monitor and maintain ownership of maintenance work orders from start to finish.
- Support the maintenance team by tracking event progress, identifying discrepancies, and helping resolve billing or documentation issues.
- Maintain maintenance program databases and review warranty coverage for possible claims, credits, or approvals.
- Coordinate with vendors and internal teams to support approvals, claims, and billing-related questions.
What We’re Looking For:
- Experience in aviation maintenance administration, billing, MRO operations, aircraft support, or a related aviation role.
- Understanding of aircraft maintenance terminology, work orders, billing practices, and maintenance documentation.
- Familiarity with FAA 14 CFR Part 145 and Part 43 regulations is preferred.
- Ability to review vendor invoices, maintenance work orders, parts documentation, and supporting records with strong attention to detail.
- Proficiency with Microsoft Office, especially Excel.
- Experience with aviation maintenance software systems is a plus.
- Strong organizational, analytical, and problem-solving skills.
- Ability to work accurately in a fast-paced aviation maintenance environment.
